How to Plan a Grazing Table for Your Udaipur Event (A Complete Guide)

Occasions, quantities, styling, setup and timing — everything you need to know before booking yours.

You've seen them on Instagram. A long, abundant spread — artisan breads, handmade dips, fresh fruit, cheese and little bites — arranged on a beautifully styled table that becomes part of the décor. Guests graze at their own pace. Conversations happen around it. No one is queuing at a buffet line.

Grazing tables have become one of the most requested setups for house parties, sundowners and celebrations in Udaipur. And for good reason — they look spectacular, they work for any time of day, and they give guests something to do while the evening unfolds.

But planning one well requires more thought than it looks. Here's everything you need to know before booking yours.

The basics

What Is a Grazing Table, Exactly?

A grazing table (also called an artisanal spread or charcuterie table) is a styled, abundant spread of food laid across a long table or a series of boards. Unlike a buffet, where food is served in separate dishes and people move down a line, a grazing table is designed to be explored. Everything is arranged together — breads next to dips, fruit alongside cheese, crackers and bites woven throughout — so that guests pick and mix as they like.

The visual effect is very different from a traditional buffet. A well-styled grazing table is abundant without looking chaotic. It's the kind of setup that gets photographed, that guests gather around, and that sets the tone for an event before a single word is said.

At Simply Sweet, our grazing tables are entirely eggless and vegetarian.

Every grazing table is made with house-made dips, freshly baked breads, seasonal produce and handcrafted accompaniments.

When Does a Grazing Table Work Best?

Not every event format suits a grazing table equally. Here's when it shines:

House parties and birthday gatherings — For celebrations at home or a rented villa, a grazing table replaces an entire catering setup. No service staff needed. No timing to coordinate. Set it up before guests arrive and let it run for hours.

Sundowners and cocktail evenings — The ideal match. Guests are standing, mingling, holding drinks. A grazing table gives them something to nibble without requiring plates, forks or a full seated service. It bridges the gap between arrival and dinner naturally.

Bridal showers and intimate mehendi gatherings at home — The mood is celebratory but informal. Guests are moving around, sitting in groups, getting their hands done. A grazing table fits the energy perfectly.

Corporate events and office celebrations — Grazing tables aren't only for home celebrations. For team gatherings, office celebrations and launch parties, they offer a premium look without the formality of a sit-down meal.

What doesn't work as well: very young children's birthday parties (where a children's menu makes more sense) and events where guests need a full, substantial meal (where you'd pair a grazing table with other food stations rather than making it the only offering).

Quantities

How Much Food Do You Actually Need?

This is the question most people don't know how to answer. The honest answer is: it depends on the event format and what else is being served.

Grazing table as the main food offering (no other dishes). Plan for a generous setup. For a 2–3 hour event, a well-stocked grazing table should have enough for guests to eat comfortably — not just nibble. For evening events where dinner isn't following, you'll need more depth in the spread: more breads, more substantial dips and at least one or two warm elements alongside.

Grazing table as a welcome spread (before a meal). Here, the table is appetiser territory. Guests shouldn't fill up — they should get curious. A lighter setup works well. The goal is to keep people comfortable and social until the main meal.

Grazing table as one of several stations. If you're pairing it with a dessert table or a main course, the grazing table takes up less of the total food requirement. It can be more focused — breads and dips, a cheese station, fresh fruit — without needing to be a complete spread on its own.

Grazing tables start at 15 guests and work best for gatherings of up to 40–50.

At Simply Sweet, we plan quantities based on your guest count, event duration and what else is being served. For smaller gatherings, our grazing boxes (available from 2 guests) are the right fit.

How to Match Your Grazing Table to Your Event

The food and the styling are equally important. A grazing table that looks generic doesn't have the same impact as one that's been designed to match the event's colour palette, setting and tone.

Some approaches that work well:

For intimate celebrations and home events: Warmth and colour. A mix of heights — boards on wooden risers, small bowls and jars at different levels. The feel of abundance in a smaller space.

For outdoor sundowners and gardens: Natural textures, linen, terracotta. Wildflowers and greenery woven through the spread. A slightly looser arrangement that feels like it belongs in the landscape.

For corporate events: Clean, structured, branded if needed. Colour-coordinated to the company palette. Less florals, more precision in the arrangement.

Whatever the setting, some styling principles apply universally: varied heights create visual interest, colour contrast (pale dips against dark breads, bright fruit against white cheese) makes the spread readable, and small details — a rosemary sprig, edible flowers, a drizzle of honey — add the finish that photographs well.

Logistics

Timing and Logistics: What to Know Before the Day

Grazing tables are set up on-site, which means some coordination is needed. Here's what to plan for:

Setup time: Allow 45–60 minutes for the table to be fully arranged. For larger spreads or complex styling, more time may be needed. Factor this into your schedule.

How long does it hold? A well-managed grazing table holds comfortably for 2–3 hours. Breads begin to firm up after that; dips hold longer when kept covered until service. In Udaipur's warmer months, it's worth noting that dairy-based dips and fresh fruit benefit from being set out closer to service time.

Replenishment: For events longer than 2 hours, we can plan the spread in stages — an initial setup followed by a refresh midway through. This keeps the table looking full and fresh throughout.

Space requirements: You'll need a sturdy table of adequate length (we can advise on sizing based on your guest count), access to the setup area at least an hour before guests arrive, and a flat, level surface for the boards and platters.

Weather consideration: Udaipur's cooler months, October through March, are ideal for outdoor grazing tables. For summer events, indoor or shaded setups are strongly recommended.

Pairings

Pairing Your Grazing Table with Other Elements

A grazing table works beautifully as a standalone setup, but it also combines well with other elements.

Grazing table + dessert table: One of the most popular combinations for parties. The savoury-to-sweet progression is satisfying, and visually, the two tables anchor the space with abundance. See our dessert table checklist for planning the sweet side.

Grazing table + welcome drinks: A drinks station alongside the grazing table — fresh juices, mocktails, nimbu pani — completes the arrival experience for guests and creates a natural gathering point.

Frequently Asked Questions

How far in advance should I book a grazing table in Udaipur?

For the peak season (November through February), we recommend booking at least 3–4 weeks in advance. Off-season bookings can usually be arranged with 1–2 weeks' notice.

Is everything on your grazing table eggless?

Yes — everything Simply Sweet makes is 100% eggless. Our breads, dips, sweets and accompaniments are all prepared without eggs. We also cater to vegetarian guests by default.

Can you accommodate allergies or specific dietary requirements?

Yes. Let us know in advance about any allergies or restrictions — gluten, nuts, dairy — and we'll plan the spread accordingly. We prefer to know these details at booking rather than on the day.

Can I choose what goes on the table?

The spread is curated based on your event type, guest count and any preferences you share. You can indicate if there are elements you'd like to feature or exclude, and we'll build the plan around that. We don't offer complete customisation of every individual element, but we do tailor every table to the event.

Do you travel to venues outside Udaipur city?

Depending on the location and logistics, yes — reach out with your venue details and we'll confirm. Travel to venues within reasonable distance of Udaipur is generally manageable with advance notice.

What's the difference between a grazing table and a grazing box?

A grazing table is a large, styled spread set up on-site for gatherings of 15 to around 50 guests. A grazing box is a curated, packaged spread for smaller groups — from 2 people — designed to be delivered and enjoyed at home or at a small gathering. If you're hosting fewer than 15 guests, our grazing boxes are the right fit.
