Planning a Dessert Table for a Destination Wedding: A Udaipur Host's Checklist

The right questions, in the right order — from budget and guest count to setup timing on the wedding day.

Destination weddings in Udaipur are a different kind of planning challenge. You're coordinating vendors in a city you may not live in, managing guests who've travelled from across the country, and trying to ensure that every element of the celebration feels considered and cohesive — even when you're doing most of the planning over WhatsApp from another city.

The dessert table is one element that couples consistently underplan.

It's easy to treat it as a secondary detail — something to sort out after the venue, the photographer, the caterer, and the décor are confirmed. But a well-planned dessert table at a Udaipur destination wedding is one of the most photographed and talked-about elements of the reception. And a poorly planned one shows.

At Simply Sweet, we've styled dessert tables for destination weddings across Udaipur since 2013. This checklist is designed to help destination wedding hosts plan their dessert table in the right order, ask the right questions, and avoid the mistakes that happen when this element gets left too late.

Get these right first

Before You Start: The Three Decisions That Drive Everything Else

Every other planning detail flows from these three decisions.

What Role It Plays

Is it the primary dessert experience with no separate cake, a complement alongside a wedding cake, or purely a styled visual centrepiece? This determines scale and ambition.

Your Guest Count

Plan for 2 to 3 dessert pieces per guest. For 100 guests with a full table, that's roughly 200 to 300 individual pieces across all items.

Your Visual Concept

Before approaching your baker, have a sense of your colour palette, dominant textures, and whether the aesthetic is maximalist or restrained. A specific brief makes a more cohesive table.

The checklist, part one

Planning Phase

  • Confirm your wedding date and venue — this determines what's logistically possible, from ceiling height for a chandelier display to cold storage and the venue's external vendor policy
  • Decide the scope — dessert table only, or table plus a live dessert counter. Live counters need a minimum of 50 guests, from ₹15,000
  • Establish your budget — a well-planned table for 80 to 100 guests with 5 to 6 dessert varieties starts from approximately ₹15,000 to ₹25,000, depending on items and styling complexity
  • Gather 5 to 10 visual references — mood boards, Instagram saves or Pinterest collections that capture your wedding aesthetic, to share with your baker at the consultation
  • Note any dietary requirements — Simply Sweet is 100% eggless across everything, no need to flag that. For gluten-free, sugar-free or dairy-free guests, our healthy bakes range can be incorporated
The checklist, part two

Consultation Phase

Reach out to Simply Sweet on WhatsApp at least 2 to 3 weeks before your event for standard setups. For grand palace receptions during peak season — October through February — 4 to 6 weeks ahead is recommended.

  • Confirm the dessert selection — which types to include (cupcakes, macarons, mini cakes, cake pops, cookies, donuts, artisan pastries), how many of each, and which items anchor the display visually
  • Discuss the styling concept — colour palette, vessels and stands, fresh flowers coordinated with your florist, custom signage, and guest takeaway packaging
  • Confirm whether a live counter is included — Chocolate Fondue Experience, Gourmet Waffles, Crêpes Station or Floating Desserts Experience alongside the styled table, so staffing can be planned
  • Discuss the wedding cake situation — how the table and cake will be positioned relative to each other, and how their visual language will be coordinated. A tiered centrepiece can anchor the table itself
The checklist, part three

Design Approval Phase

  • Review the proposed design and item list against your visual references, and confirm or request adjustments
  • Confirm flavours and varieties — single flavour or a mix of cupcakes, macaron shades and fillings, mini cake finishes — these affect both preparation and the visual arrangement
  • Confirm custom elements in writing — monogrammed cookies, custom-coloured macarons, branded takeaway packaging — so there's no ambiguity on the day
  • Confirm venue logistics — full venue name and address, the setup access window, the on-site contact for our team, and whether cold storage is available
The checklist, part four

Week Of, and Day Of the Wedding

Week of the wedding

  • Reconfirm setup timing with your baker 3 to 5 days out, and check nothing has changed with venue access
  • Brief your venue coordinator on our arrival time and setup location, so no one is caught by surprise
  • Confirm your final guest count — a 20% increase a week before the event can affect quantities and preparation

Day of the wedding

  • Allow 45 to 90 minutes of setup time before guests arrive — protect this window with your venue coordinator
  • The table goes up before guests arrive, never during — an assembly-in-progress table draws attention away from the display
  • Tell your photographer the dessert table is a priority shoot — the best photos happen in the 10 to 15 minutes before the reception opens, before guests have touched it
  • Enjoy it — once setup is complete, our team manages the display and any live counter service throughout the event
What trips hosts up

Common Mistakes to Avoid

Leaving it too late.
The most common problem. Dessert tables planned in the final two weeks before a peak season wedding almost always involve compromise — on the visual concept, the variety, or the styling quality.

Not coordinating with the venue.
A dessert table that arrives with nowhere to set up, or gets bumped by another vendor's setup, creates problems a simple advance conversation would have prevented.

Forgetting to tell the photographer.
Professional photographs of the dessert table — especially before guests arrive — are among the most shared images from destination weddings. Don't let this moment be missed.

Not accounting for dietary requirements early.
The time to discuss gluten-free or sugar-free requirements is at the consultation, not the week before.

Treating the dessert table and wedding cake as completely separate decisions.
If you're having both, they should be coordinated visually. The best results come from a baker who knows about both elements and can ensure they work together.

Frequently Asked Questions

How many desserts should I plan for per guest?

Plan for 2 to 3 pieces per guest as a starting point. For a 100-guest reception, this means approximately 200 to 300 individual pieces across all dessert types. If a wedding cake is also being served, the lower end of this range is sufficient. If the dessert table is the primary dessert experience, plan toward the higher end.

How far in advance should I book a dessert table for a destination wedding in Udaipur?

For standard setups, 2 to 3 weeks ahead of your event. For grand palace receptions and events during peak season — October through February — book 4 to 6 weeks in advance. For events that include multiple live counter stations alongside the styled table, earlier is always better.

Can the dessert table and a live counter be combined?

Yes — this is one of our most popular setups. A styled dessert table provides the visual centrepiece while a live counter station (Chocolate Fondue, Gourmet Waffles, Floating Desserts, Crepes, or others) runs alongside it with staffed service. The minimum guest count for live counter service is 50 guests, with pricing starting from ₹15,000.

Can you coordinate the dessert table with the wedding cake?

Yes. If Simply Sweet is providing both the wedding cake and the dessert table, we coordinate the visual language across both so they feel like a unified display. If a separate baker is providing the wedding cake, share their design details with us so we can style the table to complement it.

Do you handle setup and breakdown at the venue?

Yes — completely. Our team handles delivery, full setup at the venue, management of the display during the event (and staffed service for any live counter elements), and full breakdown and removal after. The event host and venue team do not need to manage any part of the dessert service.

Are all desserts eggless?

Yes. Every single item at Simply Sweet is 100% eggless — cupcakes, macarons, mini cakes, cake pops, cookies, donuts, pastries, and all live counter items. This is not a special option. It is the only way we bake.

Can you accommodate gluten-free or diabetic-friendly guests?

Yes. Our healthy bakes range includes millet-based options, diabetic-friendly bakes, and other items suited to specific dietary requirements. Let us know during the consultation and we'll incorporate appropriate options into the dessert table menu.

Final Thoughts

A great dessert table at a destination wedding doesn't happen by accident. It happens because someone planned it carefully, communicated clearly, and gave the baker enough time to do their best work.

Use this checklist as your guide. Start the conversation with Simply Sweet earlier than you think you need to. Share your vision clearly. And then trust the process.
